Seneschal:
Vote for customary to be officially passed. It is now official. Please check the website.
Sealion and Daffodil are now showing up on the Kingdom calendar, they are now official.
Quarterly reports are due by Jan 31st. Please finish them early and send them off.

B&B:
Looking for more contributions to Largesse, we should plan a largesse making night.
We are sending a small package to the Montengarde B&B as they are stepping down.
Would again like to look into tabards for dressing up our fighters for Sealion.
Asked Skeggi if he could make it to Daffodil, but unfortunately there are other commitments for the Royals then.
Yule was fantastic, thanks so much to Isabel and the cook team for all their hard work.
Principality needs more award recommendations. The Principality webform has been having issues, award reccomendations were not getting through the to Royals.
If you have sent award rec's and are wondering why they have not been handed out, this may be why. Please resend your award recommendations.

Reanne: New customary rules require that we inventory everything for stores. It has not been done in a long time.
Emails should with items should go to Stores Mistress and Seneschal. If you are currently in possession of anything belonging to Seagirt, please email these people ASAP with what you have. If you can attach pictures that would be most helpful.
Reanne would like to buy two pairs of ovenmitts. As there is a stores budget this should not be a problem.
There is now a stores sign out sheet. What you have taken will be written down so that everyone knows where everything has gone.
Also would like to get together with experienced cooks to figure out what we need to buy for kitchen stuff before Daffodil.

Allan:
Iron Key, individual in charge of iron key is responsible for all items and the return of said items.
The M.O.S is in charge of Iron Key.
The first step is to catalogue all the items and who has them.
There will be a copy of this inventory sent to Reanne and the Seneschal.

Scribal:
Really cool to see all the awards that were handed out at Yule.
Morgaine sort of forgot to take pictures of the scrolls that she did. She would like photo's of these Baronial scrolls for her records.

Chronicler:
Needs a write up for Torch and Key award.
Farspeaker almost ready for print, thanks Lochland!!

Exchequer:

Is making sure everyone is good with their yearly budget allotments.
Would like to know how we are planning on making up for these budget expenditures.
We will hold a few masked balls, perhaps a tavern night or two.
Anastasia mentions an entertainment demo that should bring in some revenue.
The other events over the course of the year will also help.

Lost and found:

Reanne will take lost and found and we will hold an auction every second SST for the unclaimed lost and found items.

EVENTS:

YULE:
Yule was good!
We have a new Bardic champion, Aria

DAFFODIL:
Everyone is in place so far!
Would like the 1st meeting to just be those in charge of certain areas, otherwise it gets too chaotic.
His Excellency would like to suggest that the autocrat of the previous Daffodil attend.

SEALION:
Is coming along!
Ming thinks he may be able a better deal on porta potties.

CORONET:
Lenora & Tristan have gotten the bid for Coronet, it just has not been announced to the population at large.

SYG AND SST:
Ysane still needs bids for these events.

Derek has business:
Dance, getting lots of people coming out. 40 on average each week.
Problem is Anastasia's voice is not holding out for being heard above all these people and music.
Suggests to get a wireless headset/mic so that she can be heard above the din. The estimated cost for this is 200$
Council is in favour of this cost, approved.

Atsur:
Attends Camosun, would like to start a Camosun medevial club. Would not be an offical part of the SCA but would give us access to their facilities.
Would like to talk about having SCA'ers come out to teach new people some classes for this.

Vincent:
Has heavy weight art paper that he would like to donate to the Barony for scrolls. This makes Morgaine very happy.

Janet:
New known world handbooks are available and are cheaper if they are bought in bulk. Is Seagirt interested in buying a box?
Seagirt has done this before and sold the books at cost. They are 22$ if you buy 25+.
Brigid suggests having a couple for the Chatelaine so that they can be looked at by people attending newcomers nights.

Seagirt Council Meeting, February 1, 2011

Exchequer: Doomsday report balances, yay!
Budget, took the 2010 budget we'd agreed on a year ago, then went through all the slips and added them up. Profit for 2010 is $844.28, less $25 for the liquor license for
Yule.
NSF's have been fully repaid.

Seneschal: Got all quarterly reports except two, Rapier Marshal and Pied Piper.
Fighting at demos - A demo is considered an event. Anytime there is fighting at an event, the fighters need to be authorized. There have to be marshalls and there have to
be waivers signed. If this does not happen it could be a real problem for insurance!
Base Club - can do demos and be affiliated to the SCA but is considered an Esquimalt club. This is *not* Crickstow. This means they cannot hand out Seagirt paraphenalia.
they can only hand out SCA paraphenalia.

Chatelaine: There are a lot of demo requests coming in. We have the masked ball in April, there is one from Alezzandra, there is also a navy league on in March...
FEBRUARY 12TH DEMO: Makayla met with coordinators last week. As of today there are *NOT* enough people to put on this demo, there are only 2 dancers and 1 fighters so far.
If there is not enough of a response from volunteers the demo will have to be cancelled.
This is a fundraiser for the people that have asked us to do this demo. We are there for entertainment. We will not be recruiting, they simply want dancers and fighters.

Anastasia has a demo request that was supposed to be in September but has now been requested for April 2nd by Prospect Lake Community Hall. This is an entertainment demo
but it will be paid. They are offering 200$, Free admission (Normally 35$) as well as two drinks per person. They are having a pig roast and a full medevial feast.
They will also need a list of who is coming so they know how many dinner tickets to give us. They will have a 40x60 space for us to fight in.

B&B: Daffodil is coming up. We need award recommendations as of now they do not have many.
Please also send in Principality Recommendations. We do not know for sure if the Prince & Princess are coming.

Chronicler: Needs award descriptions for the Torch & Key award and Order of the Violante.

EVENT BUSINESS:

DAFFODIL: Menu has been sent, we know people have been anxiously awaiting it, it will be online ASAP. This was due to a family tradegy with the Feast O crat, thankyou for your patience.
Merchants are full, We will be going to the site this Sunday to decide how things will be set up this year.
Essex Eatery is willing to do dayfood but would like the funds of $400 to be advanced to her for this as it's a lot of money out of pocket. She would then pay this back
and keep any profits made. If there is less than $400 made the Barony will absorb the shortfall. Council is in favour of this, approved.
The tourney prizes are looking to be rather nice, this is exciting!
Youth combat is mentioned in the Crier copy for Daffodil, we were originally not sure we would be doing this but since it is now in print we will fit it into the schedule.
Tickets: Thorun is selling these at Dance, Fighter Practice and A&S. If you can't find her please email or phone her and she will get one to you.

SEALION: Morgaine has a list of people she will be talking to about this event. The site has a copy of the insurance and is okay with what is on it. Yay.

SYG AND SST: Needs event bids for these events. Would like to encourage anyone who has never autocratted before to try these out as they are good ones to start with.

NEW BUSINESS:
Chatelaine is resigning, she has a lot of mundane constraints that she must focus on. Thanks to Makayla for all the hard work!
Makayla will do her official announcement on the Rocks and anyone who would like to volunteer for this position has until the next council to send their mundane and SCA resumes to
the Seneschal, B&B and Makayla.

Magenta has made fencer hoods for loaner gear and would like to put the populace badge on them. This is okay by council.
She would also like to make a hood for use at Bardic. As it is not official regalia and does not have any sort of badge on it, it does not need to be approved by council.

Morgaine: Ming has previously mentioned he would like tabards for Sealion War. Money is needed to buy the fabric and A&S will make them. Last checked this would be a
$300 to $400 cost for about 20 of them. These would be numbered on the inside and would come back after war they are worn in and will then be kept in Stores.
Council approves this cost.

Heather-Anne: Has a new deputy, Lochland. Yay!

Seagirt Council Meeting, March 1, 2011

Seneschal: Minutes accepted. Change of office happening this month, our new Chatelaine is Alezzandra Dufferin. James and Ysane looked at a new site, they have booked Goldstream group site for SYG. It has biffies, garbage, parking and a place for archery. Down payment has been made. Yay!
B&B, Exchequer and Seneschal, would like council to ratify the SYG deposit, 333.44$. Approved. The site policy is also to have people out by 11am on the last day of your rental. As this is extremely unlikely to happen we will likely have to pay the money for an extra night. This technically gives us the site to 11am Monday. The cost is 160$ plus tax. Council decides this is worth it and approves the cost.
We do not yet have a site for SST. We also will not have a lot of fighters as most of them will be going to Sport of Kings this year. There is talk about what our options are, IE date change or format change. We will think about this and come back to it next council.
Daffodil 2012, the archery barn is already booked for a dog show. This is going to cause a lot of conflict as that will attract a ton of mundanes. This causes issues for parking, washrooms and the potential for our event to become an involuntary demo. We are trying to figure out what our options are. There doesn’t seem to be an option to change the event date, we may have to think about a venue change. Lenora will check with the site to see what their rules are about this kind of thing and if they have plans/protocol for parking ect in cases like this.

B&B: Official statement, Ming and Elina will not be running for another term as B&B, which is technically up in April. They have requested a short extension to witness some milestones in Seagirt as well as to alleviate all the Baronial changeovers that are happening in the Kingdom. The extension is granted by their Majesties.

Chatelaine: Alezzandras deputy is Morgaine, any demo requests are to come through her or Morgaine. There is a demo happening at Journey Middle School on March 17th at about 1:30 to 2:30. Anastasia has a demo on April 2nd, she and Alezzandra will be ironing out the details for that together.
Exchequers report has been circulated.

James: In the past branches used to tithe to the Kingdom at the end of the year to help support the bigger branches. The Kingdom has had cut to their Crier stipend, they will only now be getting 2000$ to produce this...it costs 2800$ to create however. This has created a shortfall. The crier will be cut down to reduce costs, however James would like us to think about donating a 100$ to the crier to help out. The intention by the end of the year is for the Crier to go predominantly electronic but in the meantime they are still short. Council approves this 100$ donation.

Stores: Reann would like people to contact her after council to let her know if you have anything in your possession that belongs to Seagirt.

EVENT BUSINESS:
Daffodil: Everything is running smoothly, about 90 tickets have sold as of tonight. Our feast-o-crat should be here after council for the Daffodil meeting. Some of house Sigis is here to accept a cheque for the feast on Julian’s behalf if he cannot make it tonight. We are looking for people for set up at 6pm still. Merchants can setup on Friday night as well between 6:30 and 7:30. The heaters will be on site on Friday evening before the event. Makayla and Brigid will be on site the Friday night before the event for set up right after work as they are only 5 minutes away.
Masked ball and Demo: Budget has been submitted. Demo portion: Land is booked, hall is booked. This year we will not be allowed to merchant on the “Park” land but we will be allowed to merchant on the “Hall” land. Masked Ball Portion: Volunteers are being voluntold!
Sealion: Is good to go, Morgaine just needs an advance for the site. She has an MIC, Seth. Lenora says the person at the site has contacted her and wanted to know if we could put the event on their Website and Facebook because she thinks people would like to come and watch. The answer from council is to decline. Morgaine mentions that she has not yet heard from Ming about the biffies, he will get back to her.
Coronet: EIF has gone in.

Seneschal: minutes accepted. Calendar discrepancies were discussed. Tir Righ website is having problem. Ysane suggests following up all submissions to ensure it got to where it was going.
No site for SST. Alezzandra checking Sooke flats. Archery banned in Langford, so sites need to be checked for archery.
Anastasia suggested following through on the farm in Metchosin for August 19, 20 21, and is also checking into prospect lake hall. Rumour scouts Canada may change their alcohol rules. Magenta will look into polo grounds. Rashid is looking into a permit in Langford for archery.

B&B: Baroness thanked us for daffodil. We need a date for poll for new Baron & Baroness. Online polling is favoured. Ysane will contact the Crier, deadline for candidates will be announced on the Rocks.
Meeting at Reannes to go through the kitchen things. A kitchen transporting accident after daffodil meant some items lost, they will be replaced by Barony.

Day food made money and donated part of the money to start a Baronial Fund.
Daffodil 2012 may not be able to use Saanich Fairgrounds. Looking for alternative site. Luxton Fair Grounds will be contacted by Ysane . SVIR will be checked into by Alezzandra. Lochlan will check into the Victoria Fish and Game Reserve.

MASKED BALL AND DEMO: Anastasia has Grand Demo well in hand and Magenta has Masqued Ball in order as well .
SEALION: Morgaine reports that she has her event together. Is contacting site to get site plan to map event properly, so as not to interfere with permanent residents. Need to confirm ample parking on abandoned baseball diamond for overflow parking. Described the site and it is sounding VERY good!

CORONET: Same site, same issues. Event form is in and website should be updated. Date is late September 23-25.
SYG : Autocrat is Anne Grey…Ekatarina is a sergeant so she will be deputy. July 22, 23, 24 3pm Friday until Monday 11am.
EXCHEQUER: Report Circulated, receipts requested.

NEW BUSINESS: Liquor Licenses are paid for by the events. Insurance is paid for by Seagirt. $60 DONATED TO assist the B&B with traveling expenses, and ideas for implementation will be considered and revisited May council. All appreciated the donation.

Seneschale is missing a few quarterly reports, please hand them in.
Sent another email to the calendar deputy about SST and SYG not being in the calendar, they are now showing up.
We have had a hard time finding event sites, people were to go out and look at options.
Metchosin farm has unfortunately been leased all year.
Polo club, still up in the air.
Sooke flats is available, too expensive at 1500 per 24hrs.
Luxton fairgrounds, having their meeting tonight, will get back to us. They are unsure because of the archery rules.
SVIR Ranger Station, is nice but small. Parking could potentially be an issue. Not available for this August.
Fish and Game site is a bad site, rocky and scrubby. Expensive for what it is, we will not be using it
. FOR SST THE EIF HAS TO BE IN BY JUNE 15th OR WE HAVE NO EVENT. At this point we still have not found a site for the event.
Brigid brought up the idea of using closed schools. This is a possibility, the site would have to be dry but would be fine if it is a day event.
People have brought up the notion of using a site that does not allow archery and holding the archery championship possibly at a different event or it's own event.
It would seem unfair to put the entire championship on hold simply because we cannot find a site that allows archery.
Edd suggests booking Rudd Park tentatively and using that site as a day event without archery. Lenora suggests that we do the archery championship at SYG so that it
is not held off for an entire year.
Hamish is volunteering to autocrat SST and will tentatively book Rudd Park for the Heavy and Rapier portion as a day event.
B&B: War points for Sealion are on their way. Ming would like to have missile combat for every scenario. To make the logistics of this work he would like a champions
challenge between scenarios to give people time to retreive arrows and reset.
Demo was great, thanks!

Exchequer: Her warrant is up June 30, she is happy to renew unless someone else would like the position. No one else wants to step up, she stays!

Rashid: Langford wants to ban archery, Rashid was going to try to get permits but has not had time to do so. Looks like it is a blanket ban anyway and we will not
be able to get around it. He has however been talking to Heime who has a building we may be able to use and shoot 20 yards in.

Mattheiu: If you are going to have fighting at an event, including demos...you must have an MIC. This includes incident reports if there are problems. This has not been
happening reliably. Please make sure that it does.
Fighter Waivers have been happening though and that this great. Keep it up!
Eringuner brings up a good point, Chatelaine should have a checklist for anyone that wants to run a , it would make it easy to know what you need to do when organizing something.

Grand Demo: It went well...except for the locked bathrooms. The key we were given did not work!

Sealion: Balls are rolling....As the Baron was saying, hopefully war points will be up soon.
3 merchants so far.
Stores has 22 blue Seagirt napkins, they dont get used that often. She thought it would be funny to give them to Lionsgate as "Crying Towels" for the war! It is approved
to use 12 of them for this.
Does not have a lead gate person so far, would like to find someone experienced as it is a big event. However Magenta has offered if no one else comes forward.
Mogg says she will run gate (tentatively).
Anna Jane cannot make Sealion this year so she will be relying on her Heraldry Deputies.
Rashid would like large cardboard boxes, please hang onto them as he needs them for archery.

SYG: EIF is done. Ann will send it on tonight. Crier copy will go in by the 28th.

SST...see above discusion in Seneschale portion.

CORONET: Updated the site information. Has been approaching people to volunteer for the event and feels confident that he has a good amount of helpers.
Would like to have a rapier tournament at this event as well as a small archery tournament so there is something for everyone at this event.

Anna Jane: Liquor License stuff - There is now new forms that were effective January 1st, 2011. It used to be that a private event license was 25$ and this type of license worked for our purpose
Now the rules have changed...any event that someone can buy a ticket at the door (which is almost all of our events) are now classified as a "Public" event and is 100$

Morgaine: Presents us with the Seagirt war tabards on Isabelles behalf that A&S has been working on. They look great!
Eringunner is now the Seagirt Dean for the University of Tir Righ. More classes, woohoo!
Janet and Eringunner are looking to do an event on the tourney circut that would give points to fighters and encourage off island fighters to come to the island. More info to come!

Seagirt Council June 7, 2011

Seneschal: Minutes accepted. Update for Baronial Polling. The polling itself will be online. Polling will run from June 20th to 30th. The results will be going to the current crown and they will collect all the poll results and any letters written. Final decision still goes to the next King and Queen, Thorin and Dagmar. Ysane has booked Rudd park for SST for one day. It has been very difficult to find a site for a full weekend event. Unfortunately we can't have merchants, archery or a fire at Rudd park. This will kind of make for a short event and the archery championship will have to be held off until another date.
On the upside a 12 hour rental is costing only $32.48.

B&B: Thanks for a great Sealion, lots of work went into it and it is much appreciated. We actually won this year! Our next event is SYG, we always like recommendations for awards. Sooner than later so we can get scrolls made.

Chatelaine: New demo tool, she now has two free standing banner stands. Hopefully by our next big demo (Sooke flats, Canada day) we will have banners made for them. Magenta volunteers to create banners for the stands by Canada day.
For the Canada day demo, Alezzandra would like a Pas 'D Arms and will need all the paraphenalia that goes with it.

Rashid: Sealion archery was amazing. However Rashid was the only marshall from Seagirt there. Please come out and get warranted as a junior TAM, we need more.

Scribal: Morgaine will be stepping down in July. If you are interested in the office please let us know.
EVENT BUSINESS:
Masked ball in April: We had 51 adults and 1 youth. There were a lot of newcomers, three of them even came to Sealion. That alone makes it a success! The only negative of this hall is for people that are physically challenged. They have to leave the upstairs go down the ramp outside and in the door downstairs to get to the bottom floor.
SEALION: 162 adults. 18 youth, 21 children. 201 people total. Final profit totals will be given at next council. Three Seagirt fighter tabards did not come back. PLEASE RETURN THEM. The gate closes for this site at 10pm. They do this because their insurance tells them they have to for safety reasons. Morgaine however has spoken with the site owner about other options to work this out for September Coronet. The owner is “impressed with the calibre of our members” and they are happy to have us. There is a new Kingdom law that is coming out that says if an event is held on land that is not belonging to the group holding the event they will have to pay 10% of the profit to the group the land belongs to. However this will not affect September Coronet and in fact may be changed before it even gets implemented. It is however something to be aware of as a possibility.
Council would like to thank the autocrat, great event!

CORONET: Tristan says the Crier copy is in and is approved. It was great to be at Sealion and be able to look at the site and get an idea of how to lay things out. If anyone is thinking they would like to volunteer for the event, there will be a meeting late August or early September to plan that sort of thing.

Ysane heard from Oak that he thinks the site would be large enough to hold a crown or coronation event. Lenora disagrees, we will look closer at the size of the site at a future date.

Anne: SYG update, the event is in the Crier. Anne is hoping to go down to the site soon to plan out how they are going to lay things out. The Archery Champion is not able to be at SYG, Rashid will run the tournament in his stead. Anyone that wants to volunteer for this event, please speak to Anne.

SST BIDS? - We have a bid for this event, yay! Findabhair has stepped up. One thing about this event is that we cannot guarantee this as a private space since Rudd is a public park. It has been suggested that maybe we use our pavilions to create a private space. Another issue is that this is an off leash dog park. We will have to be extra vigilant to keep peoples dogs out of this area. As we have been holding fight practice here for some time and never had a problem, we hope it will be okay.

NEW BUSINESS:
Orianna and Magus: Orianna has procured the Eagle Ridge Arena for Archery. We can do a 60yd shoot and a 20 yd shoot concurrently. There is lots of space for us to shoot, yay! It is tentatively booked for 6-8pm on Monday nights for 12 to 14 sessions starting in September with the option to continue in 2012. The cost is 90$ for two hours. We need named insurance and we need to insure that we have marshalls. They are proposing 10$ per person per session. There is also a good chance we can do heavy fighting at this site.
If it turned out that we have more than enough people to cover the cost consistently we would look at reducing the per person admission. People are suggesting that 5$ per person would be a preferable rate, particularly if we have archery and fighter practice combined and therefore a higher attendance. Council votes in favour of renting this site with a 5$ per person admission rate, Seagirt will cover any monetary shortfall that there may be during this four month trial rental period.

Morgaine: Asks about moving the date of the Baronial succession to September Coronet so that populace can witness. The B&B will ask this of the next Prince and Princess.

Seagirt Council July 4, 2011

Seneschal: Minutes accepted. Baronial Polls closed as of June 30, TRM Thorin and Dagmar reviewing. Second Quarterly Reports due July 31st. Ysane is stepping down as Seneschal in October and seeking replacement. Some people have expressed an interest in the Scribal office, but not until after summer.
B&B: Early word recieved on the Baronial Polling. Mogg and Eideard will be our new B&B! Notice from Kingdom, Chronicler has to submit a local newsletter. B&B step-up at Investiture down in Bellingham. Ming and Elina's last court as B&B will be at SST.
Chatelaine: July 1st demo cancelled, for next year suggestions of having a vendor truck bring in demo equipment as well as selling Seagirtian wares to the mundane people. Discussed having a demo application form for people who request demos. Discussion over what kinds of demos we do: Educational vs. Entertainment. Ming suggested demo money put towards a Baronial Travel fund. Magenta suggested some demo money go back towards expenses of participants (cost of gas, etc). Base demo coming up July 15, very important or we may loose the base club.
EVENT BUSINESS:
Sealion War: Morgaine submitted report for Sealion. Profit of $438. Lionsdale sharked Sealion War date for next year, we'll have to find another date to hold the war.
SYG: No tent stakes more than 6" long at this site. Check with autocrat at gate. SST Archery championship to take place at SYG.
SST: Insurance paid by Ysane, crier copy sent in by Finndabhair, award recomendations needed. This will be Ming and Elina's last court! Suggested roping off areas from the public for some privacy.
Coronet: Tristan has nothing new to report. Plans move ahead.
NEW BUSINESS:
Diamante da Magenta: Banners are painted for the demos! Magenta has also offered to paint the Baronial arms on the Seagirt pavilion.
Mistress Lenora, Ban Tanist of Tir Righ: Lenora will be selling earings for the Tir Righ travel fund.

Seagirt Council Meeting August 2, 2011

Seneschal: We will have a new Baron and Baroness next month! Mogg and Eideard! They will do their best to be here at next council but may not make it due to travelling back from Burning Man.
SST – need insurance 49.62$
We need a Yule autocrat, we would like bids by next council. Should we go ahead and book Luxton Hall? The answer is yes, we should book Luxton. Ysane will do so. If we need a better kitchen, the Lions Club has a portable kitchen that is available for donation. It is very nice and large.
Ysane has the Scribal Stuff, Makayla will take on the position, council approves.
Archery at Eagle Ridge: Ysane is trying to get in contact with Orianna as we need information for the insurance. Ysane points out that we need a new Seneschal by October....volunteers?

B&B: Event coming in 19 days...SST. We still need award recommendations, please do so. We would like to be able to give out more than one award at our final court!
Lenora is stepping up as Princess in a month....they need retinue identifiers....they would like to make armbands, it will be about 100$ for paint and material. Seagirt approves to cover this cost from the Baronial coffers.
Mogg & Eideard: Would hope to see as many of you out as possible at investiture, please come camp with them, they would love to see you out! Ming offers to bring out Big Blue to have a Seagirt party under!

Exchequer: Needs to have the new Baron and Baroness come to the bank with her to change over signing authority. Edward and Megan MacDonald will be stepping up to the position of Baron and Baroness on August 27th 2011.

Tristan: Proposes to council that for the Seagirt stores we get a small easy up tent for use at events and demos. Can be used at Gate, Heralds Point, Lists or wherever a shade is needed. Seagirt approves buying two, Inga can order them from a Wal Mart location as they are on sale right now for $98.00 each plus tax. Seagirt also approves to buy two walls for these to keep out the sun/rain. In total the cost will be about $300.00 Ysane requests that Tristan follow up with Reann to make sure there is space to store them. If there is not, Tristan volunteers to keep them at his house.

EVENT BUSINESS:

SYG: It was a wonderful event! 111 people attended. A few hiccups with archery, but it worked out in the end. Profit is about $320.00.
Ysane has been in contact with BC Parks about suddenly not being allowed to do archery at the event when we had originally been told that we could. The lady she talked to was unfortunately unable to give her a clear answer at this time. However, if we are able to settle this issue (in writing) we would love to be able to use this site again. The only issue is that they don't take bookings until January and they want a rather large advance of just under 500$. To book SST and SYG we would be looking at a 1000$ deposit at the time of booking. Parking was also a bit of a problem, but this could be solved with having someone in the parking lot directing people where to put their cars.
It is noted that the gate box needs to be replenished, we are missing things such as hand sanitizer which would have been nice to have at the potties.
Lenora states that now that they are doing online booking it may be technically possible to book online before the month of January. Lenora says we should also talk to Lenora who may have a line on a site in Mill Bay.
SST UPDATE: Nothing to really update anyone on, the only thing is that there was question about a Facebook page for the event, it has been determined that is not needed as we have a website for all required information.

CORONET UPDATE: Two port a potties have been booked, it should be enough as we have lots of flush toilets on site. The scorer of Tir Righ will be at the event for archery. Tristan will harass the new P&P closer to the event for the schedule of events. A reminder that Principality Greater Officers are comped their site fee, there will be a list made for the head gate person which is Anne.
NEW BUSINESS:
Janet and Lachlan: Have an event bid! Feast of St. Crispin, November 19th at the Colwood Pacific Activity Centre. It will be a UTR event with a small meal following. Seagirt Approves!
Reann: SCA Fashion show and tell Sept 13th at dance practice. Please be prepared to talk about your garb, construction ect. Bring projects that did not work out as intended so you can explain why to help others learning to make their garb. Anything that passes the 10 ft rule is acceptable. More information to follow on the Rocks.
Anna Jane: Has been water bearing co-ordinater for 3 years now and would like to make something to reward her returning water bearers. She would like to use the Seagirt populace badge to make some belt favours for those that are consistently out hydrating our fighters. Lachlan points out that it is outlawed to endorse water bearing by any group. So, we could do this without using the Seagirt badge to avoid the official look. We can do this as a household badge instead perhaps? We will think about finding a way to acknowledge these people without creating an official identification. Makayla points out that identifiers are moot considering it is obvious what you are doing when you are carrying around water and Gatorade. If Water Bearing continues to be organized the way it has been for the past three years, then we are in keeping with the BOD ruling.
Lenora: Her Grace Wrenn, will be running a silent auction for Lenora and Alden for the Tir Righ travel fund. They are looking for items to sell. If you have anything you can make or donate it would be appreciated. She is looking for stuff that people are willing to spend money on, and would like to start this by Investiture and close it by Coronet.
Eideard: Stores: there are a ridiculous number of things we never use. 105 plates, xmas tree ect.
He would like to propose a handful of us go through the stores to get rid of the stuff we never use.
Lenora points out the plates were purchased from IKEA for the purpose of serving, Janet however says they are too small to be useful for serving. Makayla points out that she was making newcomers feast gear sets...plate, bowl, cup ect. She wonders if perhaps she could use some of these extra plates for this purpose.
It is decided that where it gets donated doesn't matter, it just needs to get done. Eideard volunteers to make a team to do this, to make a list and bring to council for approval to dispose of as needed....this would be happening in September/October.

Seagirt Council Meeting Sept 6, 2011

Minutes: Anna-Jane has issues with last months minutes, and would like to change some points within them, they will be amended.
Seneschal: We have a new Seneschal, Monique LeBlanc is stepping down from this position, Preston McIntosh is stepping up. Deputy Seneschal Fletcher Hallihan is stepping down, Dawn Sharcott is stepping up as Deputy Seneschal.
Lachland will be at sea for his first council (October), Morgaine will run this meeting. Ysane has ordered and received archery practice insurance.
Luxton hall is tentatively booked for Yule, we need to write a cheque for this. There is to be NO ARCHERY at the Luxton site, too much residential around. We have also been informed that the kitchen trailer is not available in the winter as they shut it down for the cold season.
Ysane got an email from the Principality Seneschal, all references to the term “Autocrat” have been removed. They are now referred to as “Event Steward”. In light of this, it means that they are Deputy Seneschal for the event and therefore must be paid members.
“Minister of Children” and “Pied Piper” have also removed.
There was a requirement that if you held an event in another branches territory you would tithe 10% of your profit to that branch. This has now been abolished. There is however a requirement for communication with the other branch if you were to hold an event in their lands.

B&B: Thanks to everyone that came out to Investiture to witness our step up as well as Mistress Lenora's elevation to Princess. Huzzah!
The Baronial pavilion needs repair, there are a few stains on the Seagirt Cloaks, The Baroness's circlet is too small for Mogg. They propose to have a cleaning and repairs of the Baronial gear done, as well as speaking to Asa about enlarging the circlet. Heime apparently has an industrial sewing machine, we could talk to him about the use of it. The cloaks will be sent for a dry cleaning.
One of our main jobs is hand out awards, we would love to hijack a social for people to write down which awards they have, so that we can get the Seagirt OP updated.
Lenora asks why this stuff is not going on the Tir Righ OP, do we even need to have this on the Seagirt site?
Eideard points out that the Kingdom OP is out of date as well, so it is hard to tell who has what. As soon as we have Kingdom update this, we can take our listings off of the Seagirt site.
Anna-Jane says we can keep this info up to date with court reports, but unfortunately there is a gap in those reports.

Magnus: Says our first archery practice is still next Monday, though we may not be able to shoot quite yet. We have 30ft of Kevlar backing borrowed from Heime, as well as 12ft of backing that belongs to Magnus. We have asked about being able to do heavy combat there as well but we do not have an answer yet.
Magnus would like anyone who has any spare bows and arrows to loan the use of them.

Magnus would like to remind everyone that Orianna is the site contact for archery practice and only she should be speaking with Jerry as site liason.

Reann: Has a list of stores, it will be updated as there are some things that we will be removing as they are no longer needed. She would like to know if there are any changes or errors in this list that need to be corrected. Please look it over.
The gate box is now split into two boxes for the sake of organization, please refer to the list.
She has 20 defender banners, they have been washed and folded with the exception of 3 that are deemded to be in too poor condition for washing.
Reann has brought out this evening a large pile of things from stores that we would like to get rid of or sell.
We have An Tir banners representing the King and Queen, we have never used. It is suggested that the next time the Royals are here we could give them as a gift.
Lenora suggests we keep them and send them with other banners to events, we would just need to get a plastic artists tube and put a sign on these reminding people that these can ONLY BE USED when the King and Queen are present.
Reann reminds us that garb show and tell is on September 13th.

Anastasia: The price of this hall is going up, from 22$ an hour to 25$ an hour plus tax. This is effective Sept 1st. They have also asked that we abide by the no smoking outside the building law, there have been a few offenders. Please do not do this, the smoke is filtering into the windows!

Exchequer: Inga points out that there are five signers on the bank account. Do we want to retain all the names we still have on there or do we want to change? We always need to retain two people minimum.
It is decided that for now it is easier to add or remove members than it is to change as a change requires more paperwork and could possibly freeze the account.

EVENT BUSINESS:
SST: Report, our heavy champion is Seth Starr, Rapier champion, Vincent the Chased, Archery Champion, Athalina. 103 people attended. Expenses: 194.20$ Total Profit: 330.80$
Morgaine points out that if we were to run an event in Rudd Park again we would need more signage pointing out that this is a private event, as there were some problems with people wanting to wander in.
Lenora does not want to see SST at this site again and is hoping we can get Goldstream Park again but Ysane has not heard back from the site co-ordinator.
MASKED BALL: Its in the Crier, and it is in October.
FEAST OF ST. CRISPIN: Don't have final confirmation from site yet as the people are still on leave.
Still trying to confirm classes and teachers, TBA.
There will be Tavern type food, not a full feast.
CORONET: Late arrivals, the site will make arrangements to let people in late on Friday night. They would prefer to manage this aspect themselves for insurance and security concerns.
Everything else is going well and Tristan hopes to have the schedule soon.
He is putting the call out for volunteers, spread the word. We need field marshalls for the main tournament, Ming is the MIC if Sir Kheron is not able to do it. If anyone wants to be a Field Herald, please see Anna Jane. If you would like to volunteer for a gate shift, please speak to Anne.
People are inquiring about merchanting fees: charge them 5$ as they need a receipt so they can claim their costs.
We need an Event Steward for Yule, any takers?
Thorun is working on a bid with Isabelle as back up.
Lenora says to send event copies to Tir Righ webminister because there is a new section on the website for this.
Her Highness has business: At the last event Elina was paying a site fee. Currently the B&B pay site fee at Seagirt events except for Championship events. Lenora suggests we change this to make it so that the B&B don't pay site fees for any Seagirt events. This motion is approved.

From Lachlan: New archery practice working well, good attendance. Still need to confirm the site for Yule. 3rd Quarter reports are due the end of this month.
B&B: Event coming up, Masked Ball! We would like recommendations as it is our first court!
Tir Righ A&S is in Lionsdale Oct 22nd, it would be lovely to see people off island!

Chatelaine: Who brought Gold Key home from Coronet? Tristan did, it will be returned.

Scribal: We need a scroll case for the Barony, they range from 25$ to 75$, also needs calligraphy nibs and ink so that when we have some classes and teach there will be enough supplies for people!
Lenora suggests to spend more money than less on something good quality that will fit all the scrolls, supplies ect. Seagirt approves up to 200$ to spend on these items.
Exchequer: Almost out of cheques we need to order more. Can go to any branch, as long as there is one other signer with the Exchequer and that they have ID. Tom Pilcher and Robin Lam will be taken off the account as signers. Preston McIntosh and Dawn Sharcott will be added as signers.
In the customary it says the person that transports the Baronial equipment gets reimbursed for gas. Inga thinks that it is not appropriate for this cost to come out of the event budget the equipment is going to.
Inga thinks perhaps we need a budget for this?
She has received a $100 receipt for this and is unsure if we reimburse the total cost, or partial as this transport also includes the personal gear to whoever transports the Baronial items.
Please refer to article 6.09 in the Seagirt customary. Specifically all it says that if the Pavilion is taken to a Non Baronial event with councils approval the person will be reimbursed for fuel costs.
As the customary reads this way, in this case we will write a cheque for 100$. In the next financial meeting we will look into changing the way this rule works as it is a little too ambiguous. MOS: No longer practicing Sundays at Rudd Park, it is once again moving to Naden Base in the drill shed, same day and time.
Reann: The people who won the auction stuff can claim their items.
Morgaine suggests the the proceeds for this auction go to the Baronial Travel fund. Motion approved.
EVENT UPDATES:
CORONET: The event was very successful, we made a profit for the Principality as well as a small profit for Seagirt. Rough estimates are: Tir Righ: 750$ Seagirt 250$
Attendance was 216 total people. 180 adults, 13 youth and 23 children.
After a few hiccups with confusion over camping locations the site is happy to have us back in the future!
MASKED BALL: Its happening in a week and a half, Oct 15th. Anastasia has a very well laid out schedule for this event! Cost for attendance is 10$. The 5$ NMS does apply. Motion put forward to have a 50$ prize budge for the A&S Championship. Seth suggests raising this prize budget as he feels 50$ is not enough to attract an off island contingent. Seagirt will take this into consideration for next years championship as of now it is a little late to change being that we are so close to the event.
The budget for future prizes will be tabled until next month as we have another Championship at Yule to think about.
FEAST OF ST. CRISPIN: Event is November 19th. Site is finalized! Class list is not yet finalized.. Website is in the works, you will have to pre-register for classes. There will be more information on the Rocks soon.
YULE: Event is at Luxton Hall. EIF is in. Waiting for it to update on the calendar. We have some great people volunteering to help. Running from 2pm to 11pm, will close shop a bit earlier than that as we do not want to be cleaning up at midnight. There will be the Feast of the Immaculate confection with two categories, Novice and Advanced. We would like to encourage as many people as we can to try their hand at cooking for this!
Anna Jane would like to know if we will have a chance at Yule to show the Scholars applicants projects at the event as traditionally that is where we used to show these items, its just for the past few years we have not had applicants. This question will be directed to the Baron.
Bartolema and Reann are wanting to do a play at Yule, there seems to be interest in making this happen for actors and helpers alike.
DAFFODIL: Magenta is putting in an official event bid. Proposed site is the Cowichan Fairgrounds, the outbuildings are all heated!! There is also a wonderful banquet area and kitchen. Her proposed theme is the “Known world Traveller”. The feast would be an Italian Renaissance style. She would also like to bring back the Daffodil costume contest. She would like A&S to consider doing a banner making workshop with a Daffodil theme before the event to use as decorations for the event.
Master James will be Site Liason.
Glynis will be A&S competition coordinator.
Proposed date is March 10th, 2012.
Seagirt accepts Magenta's event proposal!
Lenora will call the Saanich Fairgrounds and cancel our booking there as soon as the Cowichan Fairgrounds is confirmed.
Glynis points out that this site is actually big enough to hold a crown event...if anyone is interested.
Chronicler: Brigid is stepping down as Chronicler and Webmistress. We have an official application for the job from Hamish. Seagirt accepts!
Anna-Jane: We still need updates on your Baronial awards. We would like the award, the date it was given, the event it was given, who gave it and what name it was under. There is a lot of assumption that people have certain awards when they do not. Please think about this and check carefully.

NEW BUSINESS:
Athalina: Uvic has a medieval club again. There is a lot of paperwork involved in getting St. Giles started again. There was a website for St. Giles at some point, Kya apparently would know about this.
A lot of the St. Giles items are in a locker in the basement of Uvic, the campus doesn't seem to know much about this.
There is an international education week, Nov 14-19th coming up at Uvic, they have asked St. Giles to do a demo, Athalina would like to put in a request to Seagirt for h

Seneschal:
Note to all event stewards Gate keepers must be paid members of the society. Keep this in mind when getting help for your events.
Advertising for events:
Do not post ads for an event that is not yours.
It is recommended that we do not post events in community journals or non SCA media if this is done we need to inform the Kingdom media officer before hand.
B&B:

Are still, as always, accepting Award Recommendations there have been none since the last event.
Baronial Pavilion: it has been mentioned after packing up the pavilion from the last event that the UV protection on the canvas is breaking down and the pavilion may only have a few years left we need to start to raise funds to replace the canvas.
Garb: We ask that a good attempt at period garb is attempted if you notice someone at an event out of period direct them to someone who can help them with there garb.
Exchequer:
New checks have been ordered we have temporary checks in the mean time.
Quarterly report has been submitted and is balanced.
Chatelaine:
The Sooke Canada Day demo wants us to return and has offered us a merchant area for fundraising.
More clarification on the merchanting is required Alezzandra will follow up on this at Feb council

New Blade ban has come down and is in effect immediately no one is Seagirt uses this blade therefore this is not an issue.

Clarification on Waivers: Waivers are not required for persons in photos taken at events in a public place, Waiver from Photographer is required. Waivers are needed for all files that are published.
Newsletter: The newsletter is ready to post we are just waiting on the last of waivers to be completed. As soon as waivers are complete the newsletter will be posted on the site.
Files: When the office was handed over 6 boxes of archives where passed on I would like to look into the requirement to keep hard copies. Morgaine stated what ever is not needed to be kept can be sent to a university that is seeking SCA items for there library. Lachlan will look into the requirements for these archives and get back to us.
A&S:
We have a new Champion.
The 2nd Wednesday of each month at A&S is now period cooking night, bring your recipes.

Master Iago is holding commentary nights on the second Thursday of every month if you want advice on anything to do with your heraldry or are just interested in heraldry please attend.

MASKED BALL: Took Place on 22 October 2011. 76 people attended 67 Adults, 3 Youth, and 6 Children. The ball turned a Profit.
EVENT UPDATES:
FEAST OF ST. CRISPIN: Event is November 19th. Class list is in. Website is posted; you will have to pre-register for classes. Lunch is included in the site fee; however the Dinner Feast is an extra cost.
YULE: Insurance needs to be purchased (Lachlan will take care of this) Ticket float is required $100 requested and approved for Float. Tickets are now on sale and best effort will be made for someone with tickets to make it out to all weekly meetings. There will also be a best tasting dessert contest this dessert does not need to be period.

Following passed on from HRH Lenora. Just talked to Baron James on the phone regarding confirmation of the site so we can cancel Saanich Fair grounds. No confirmation received as of yet. Lachlan will email both Baron James and the event steward regarding this matter and inform them there is 5 Business days to confirm this site or we will book the fair Grounds and cancel on the proposed site.
Event Bids:
Insula Magna Pas D'Armes:
Date booked Feb 4th 2012 there will be no tavern site has been booked from 9am until 2am for $100 once budget has been received by council we will approve this event. Event Steward is Seth Starr.
Archery:
Archery is going great with an average turn out of 18 archers. The site needs us to confirm Jan-Mar 2012 we have been offered the same time slot however the cost will increase from $95.20 per night to $190.40 per night. We almost broke even charging $5 per person for the past 3 months. We will book the site for this time line and increase the cost each night to $10 per person and see how the next 3 month term goes. Lachlan will book insurance for this site for the next 12 months at this site.
Council Email List:
Lachlan would like to start an email list on yahoo or Google or similar media to upload council files to incase something goes missing we will have copies for the incoming officer. Council has decided it will be done.
Cooks Gear:
The cooks gear in stores has been sorted and anything non food safe has been disposed of. With upcoming feasts we need to replace these items and we need lots of stuff.
Morgaine has started a cost comparison and finer tuning is needed before any major purchases.
The festocrat for the next 2 feasts require Stock pots, long ladles and long spoons to prepare the feast. Council approved an advance of $300 to purchase these items. Remainder of items will be looked into at future council. Morgaine is to look into the cost of renting serving trays as opposed to purchasing them as we do not do many services feasts.

if the event is published in the Crier Date, Time, Location then NMS MUST be collected. Question as to if published in the calender of the Drier if we collect, Baron James will enquire with kingdom and have answer for Jan Council.

B&B:
Attended Hartwood Yule is happy to see alot of Seagirtians at upisland events.
Hardwood is interested in Archery and will be in contact to figure out archery with us in the duture.
B&B will be at Seagirt yule.
12th night was looked into and they will not be attending this year as hotels in the area are full for that time.

Exchequer:
Nothing to report one check is outstanding from deposit of coronet Inga will email site to have check mailed back to us.
Chatelaine:
not present - nothing to report from email sent to Lachlan
MOS:
Nothing to report except numbers are down at practices

Practices are going well.
numbers are down last practice will be Dec 11 2011 practice will resume Jan 4th 2012.
Chronicler:
New Glaucous is posted online.
Old copies are still being scanned in and added to the archives portion of the website.
Lots of newsletters from other regions are in our files. we will attempt to relocate them to there originating brach.
A&S:
2nd Wed of month is period food night morgaine will be cooking some food. Bring your period food to this A&S as a chance to practice for yule competitions.
Herald:
Is staying as the branch Herald however has taken on the Deputy position for Town Crier and Field Herald for Principality.
Scribal:
New cases have been purchased one is with the Scribal office and one is with the B&B.
Lots of new talent has been coming out to scroll making workshops.
Dance:
Numbers are down Closing dance on 13 Dec 2011 until new year.
Pass the hat has been low $224 is being spent monthly on hall rental
pass the hat generated $122 last month
Suggested pass the hat of $10 per month per person??

FEAST OF ST. CRISPIN: Attendance was below the break even point. some people were not aware that if you didnt show up for the feast you were still required to pay for feast. event report not quite completed will be brought before council at Jan 2012 meeting.
EVENT UPDATES
YULE: Selling the last of the tickets. Approx 100 onboard and 15 off board confirmed and paid.
Event Steward will not be in attendance until evening durting the day the deputy will be running the event deputy is Isabelle until Thorin arrives from work.
There will be danceing and bardic. Signup sheet for Bardic open Mic will be at gate please sign up. Anna Jane will be running the tavern. Menu to be posted shortly. NO BYOB
DAFFODIL:
Deposit for hall has been paid the website is up and running. Tickets are now on sale $20 adults, $10 Youth, $6 Children

Off Board
$12 Adults, $6 youth, Children Free.
Insurance will be Purchased
Defenders have been contacted regarding tourney format 2 out of 3 have responeded with no issues.
Insula Magna Pas D'Armes:
Proposal with Budget has been recieved $10 day fee, $5 youth NMS will apply

Saanich Fairgrounds has been cancelled for Daffodil 35 however we are booked for daffodil 36 9 March 2012.
Officers need to send in there membership numbers and Exp dates to Lachlan

Morgaine has purchased new stock pots lids and laddels totalling 239.99
Lenora- needs insurance for SST and SYG Lachlan will get this when he gets Daffodil insurance
